Restrict department access
Need to keep certain departments more private? Metanoa gives you two ways to control access. You can turn off access via association completely so staff only see their own departments, or you can make specific departments like Psychology visible only to staff who work there.
Let's set up department access restrictions
Here's how to control which departments your team can see.
Metanoa's default setup uses access via association, which means therapists can view information from other departments when they share clients. But sometimes you need tighter control, especially for sensitive departments like Psychology or when you want to keep departments completely separate.
Turning off access via association completely
If you want staff to only see departments they're explicitly assigned to, here's what to do:
- Go to Settings and click on Roles & Permissions
- Select the role you want to adjust, like Therapist or Front Office
- Find the Access Non-Assigned Departments setting in the permissions list
- Change it to No Access and you're all set!
Now staff with this role will only see clients and information from departments they're assigned to, even if those clients receive services from other departments.
Making specific departments private
If you want to keep access via association but create exceptions for certain departments, here's how:
- Go to Settings and click on Departments
- Select the department you want to restrict, like Psychology
- Find the Visible only to members setting and turn it to Yes
- Click Save and you're all set!
This setting overrides access via association, so now only staff assigned to Psychology can see that department's information, even if they share clients with therapists from other departments.
