Setting Up Assessments for a Department

This page is for Admins and department leads. If you're a therapist looking to fill in an assessment, head to Completing an Assessment instead.

Assessments don't appear on client profiles automatically. They come from forms that have been built and published in your organization's Library. Each department has its own library, and whatever is published there is what therapists see when they open a client's Assessments tab.

Why a Department Might Show No Assessments

If therapists open a client's Assessments tab for a department and see no forms, it means one of two things. Either no forms have been added to that department's library yet, or the forms that exist haven't been published. Either way, the fix happens in the Library.

How Department Libraries Connect to Assessments

Every department in Metanoa has its own dedicated library of forms. When you publish a form in a department's library, it immediately becomes available as an assessment for every client in that department. Unpublish it or deactivate it and it disappears from the available assessments list.

This means the Library is the single place where you control what assessments exist for a department. There's no separate step to assign forms to clients, the connection is automatic once a form is published.

How to Get Assessments Showing for a Department

If a department has no assessments set up, you'll need to go to the Library and either create new forms or publish existing ones for that department's workspace.

Let's Get Assessments Showing

  1. Click Library in the left sidebar to open the Library
  2. Find the workspace for the department you want to set up, each department has its own workspace named after it
  3. Check if forms already exist in that workspace by browsing the forms list
  4. Create a new form if none exist, or open an existing one that needs to be published
  5. Publish the form using the Publish button in the form builder
  6. Go back to a client's profile in that department and open their Assessments tab to confirm the form is now showing as available

And you're all set! The form will now appear for every client enrolled in that department.

What About Onboarding Forms?

Onboarding forms like Case History are separate from department assessments. They live in the Onboarding workspace in the Library and appear under a client's Progress tab rather than inside a specific department. The setup process is the same, publish a form in the Onboarding workspace and it appears for all clients.
