How the Library Works

The Library is where your organization creates and manages the forms that therapists use with clients. Everything you build here flows directly into the assessments, onboarding, and profile forms that staff see on client profiles.

What Is the Library?

Think of the Library as your organization's form management hub. It's where Admins and department leads create clinical forms, update them over time, and control which ones are active. Therapists don't build forms, they just use what's been set up here.

You'll find the Library by clicking Library in the left sidebar. If you don't see it, your role may not have Library access, so check with your Admin.

How the Library Is Organised

The Library is divided into libraries. Each library is a container for a specific set of forms, and the type of library determines where those forms appear for staff and clients.

There are three types of libraries.

Department libraries are linked to a specific department in your organization, like Occupational Therapy or Speech and Language Therapy. Forms you publish in a department library appear as available assessments for every client enrolled in that department. Each department has exactly one library, and it's created automatically when the department is set up.

The Onboarding library holds intake and case history forms that apply across the whole organization rather than to a specific department. Forms here appear under the Onboarding tab on a client's Progress section, not inside any department. See Onboarding Forms for more detail.

Core libraries hold system-level forms like the client Profile and Patient forms. These are built into Metanoa and work differently from department or onboarding forms. See Core Forms for more detail.

How the Library Connects to What Therapists See

The connection is direct and automatic. When you publish a form in a department library, it immediately appears as an available assessment for clients in that department. When you unpublish or deactivate it, it disappears. There's no separate step to assign forms to clients or departments.

This means the Library is the single place where you control what assessments exist across your organization. Getting forms right here means therapists always have what they need.
