Rate Plans

A rate plan is your organization's price list for therapy services. It defines what each session type costs so that when a session is signed, Metanoa knows exactly how much to bill. This page covers how to create and manage rate plans.

What's in a Rate Plan?

Each rate plan has a name and a list of services. Every service in the plan represents one type of therapy session and includes the department it belongs to, the service name, a CPT code, the session duration, and the amount to charge.

You can have multiple rate plans, which is useful if different clients are on different pricing arrangements. One plan must always be marked as the default, and that's the plan used for any client who hasn't been assigned a specific one.

Creating a Rate Plan

Let's Create a New Rate Plan

  1. Click Billing in the left sidebar to open the main Billing page
  2. Go to the Rate Plans tab
  3. Click "Add" to open the new plan form
  4. Give the plan a name that makes it easy to identify, like "Standard Rates" or "Subsidised Plan"
  5. Add each service by filling in the department, service name, CPT code, duration, and amount
  6. Save the plan and it will appear in your rate plans list

And you're all set! The plan is ready to be assigned to clients or set as your default.

Editing a Rate Plan

You can edit a rate plan's name and update the amount for any service at any time. When you update a service amount, Metanoa records the change in the plan's history so you have an audit trail of what changed and when.

Let's Update a Service Amount

  1. Go to the Rate Plans tab in the main Billing page
  2. Click the rate plan you want to edit
  3. Find the service whose amount you want to change
  4. Update the amount
  5. Add a change reason if you want to note why the amount changed
  6. Save and the new amount takes effect for future session payments

Heads up, changing a rate plan's amounts doesn't affect session payments that have already been created. Only new session payments going forward will use the updated amounts.

Duplicating and Deleting Plans

If you want to create a plan that's similar to an existing one, use the duplicate option to copy it and then make your edits. This saves time compared to building a new plan from scratch.

You can delete a plan as long as it's not the current default. If you want to delete the default plan, you'll need to mark a different plan as the default first.

Setting a Default Plan

The default rate plan is the fallback for any client without a specific plan assigned. To change which plan is the default, open that plan and mark it as default. The previous default will automatically stop being the default.

Your organization must always have at least one default plan. If no default exists, Metanoa will create one automatically.
