Department Libraries

Every department in Metanoa has its own dedicated library. This is where you manage the forms that therapists in that department use with clients. This page is for Admins and department leads who are responsible for setting up and maintaining those forms.

How Department Libraries Work

When a department is created in Metanoa, a library is automatically created for it with the same name. The two are permanently linked, which means anything you publish in that library flows directly into the assessments tab for clients in that department.

There's no configuration needed to make this connection work. It happens automatically, so your job is to focus on getting the right forms into the right library.

Finding a Department's Library

Let's Find a Department Library

  1. Click Library in the left sidebar to open the Library
  2. Browse the list of libraries on the left side of the screen
  3. Click the library named after the department you want to manage, for example "Occupational Therapy" or "Speech and Language Therapy"
  4. You're now inside that department's library and can see all its forms

From here you can create new forms, open existing ones, or check what's currently published and active.

Adding a New Form to a Department

To add a new assessment to a department, you create the form inside that department's library and publish it. Once published, it appears automatically for all clients in that department.

Let's Add a Form to a Department

  1. Open the department's library by clicking it in the Library sidebar
  2. Click "Create New Form" at the top of the library
  3. Give the form a name that clearly describes what it assesses
  4. Build the form by adding your questions and fields in the form builder
  5. Click Publish when the form is ready
  6. Go to a client in that department and open their Assessments tab to confirm the form is now showing as available

And you're all set! The form is now live for every client in that department.

What Happens When a New Department Is Created

Whenever your Admin creates a new department, Metanoa automatically creates a matching library for it. The library will be empty to start with, so someone will need to add and publish forms before therapists in that department see any available assessments.

If you've just set up a new department and therapists are seeing a blank Assessments tab, the next step is to go into that department's library in the Library and get the forms built and published.
