Adding a Clients
When a new client joins your organization, the first step is creating their record in Metanoa. This gives them a profile, assigns them to the right departments, and opens the door to everything else: onboarding forms, sessions, goals, and billing.
What You'll Need Before You Start
You need the client's name and at least one department to assign them to. Everything else (photo, date of birth, contact details) is optional at this stage and can be added or updated later from the client's profile.
If the Add Client button isn't visible on the Clients page, your role may not have permission to add clients. Ask your Admin to check your access.
How Do I Add a New Client?
Let's Add a New Client
- Click Clients in the left sidebar to open the Clients list
- Click "Add Client" in the top right corner of the page
- Upload a profile photo if you have one, by clicking the photo area and selecting an image
- Enter the client's name as this is the only required field
- Select their department or departments from the list, at least one department is required so Metanoa knows which therapy areas the client belongs to
- Fill in any additional details you have available, including date of birth, gender, phone number, and email
- Complete any extra fields your organization has added to the client form, these vary depending on how your Admin has configured things
- Click Save and the client's record is created
And you're all set! The new client now appears in your Clients list and their profile is ready to work with.
What Happens After You Save
Once a client is created, Metanoa sets up their record across all the areas they need. Their profile appears under the Profile tab, their assigned departments determine which assessments and sessions are available to them, and their onboarding forms are ready to complete under Progress → Onboarding.

About Departments
A client can belong to more than one department at the same time. For example, a client might receive both Occupational Therapy and Speech and Language Therapy, so you'd select both when adding them.
The departments you assign here control which assessment forms, session types, and clinical areas are available for that client, so it's worth taking a moment to get this right upfront. You can always update department assignments later from the client's profile.
