Session Payments

A session payment is the bill that Metanoa generates when a therapy session is signed. This page explains what session payments look like, how their status works, and how to charge one when you're ready.

Understanding Session Payment Statuses

Every session payment has a status that tells you where it stands.

Pending means the bill has been created but hasn't been charged yet. You can still open the payment, review it, add comments, and mark it as charged when you're ready. This is the only status where you can make changes.

Charged means the session has been finalized. The amount has been applied to the client's wallet and no further edits are possible. Charged payments are read-only.

Heads up, once you charge a session it cannot be undone, so it's worth reviewing the details before you confirm.

What's Inside a Session Payment?

When you open a session payment you'll see the session date, the line items showing the CPT code, description, unit price, and quantity, and the total amount. You'll also see a comments field where you can log quick notes like "No-show" or "Late arrival" before charging.

How Do I Charge a Session?

You can charge a session from two places: the main Billing page under the Payments tab, or from a client's Billing tab. Both open the same Session Details dialog.

Let's Charge a Session

  1. Find the session payment by browsing or searching in the Payments tab or the client's Billing tab
  2. Click the row to open the Session Details dialog
  3. Review the line items and total to make sure everything looks correct
  4. Add a comment if needed, using the quick tags like No-show or Late arrival or typing your own
  5. Turn on "Charge this session" using the toggle
  6. Click Save and a confirmation dialog will appear
  7. Confirm and the session is marked as charged

And you're all set! The session payment is now finalized and the client's wallet is updated.

Searching and Filtering Session Payments

On both the main Payments tab and the client Billing tab, you can search by client name, therapist name, or other fields. The default date filter shows the last 7 days, so if you're looking for older payments make sure to widen the date range.
