Client Onboarding
After a client is created in Metanoa, the next step is onboarding. This is where you complete intake paperwork, gather background information, and upload any supporting documents before clinical work begins.
Where Does Onboarding Live?
Onboarding is found inside a client's record under the Progress tab. Open a client from the Clients list, click Progress at the top of their profile, and then click the Onboarding tab. Everything intake-related for that client lives here.
What You'll See on the Onboarding Tab
The Onboarding tab has two sections.
Available Forms appear as cards at the top of the page. Each card is a form your organization has set up for intake, like a Case History, a background questionnaire, or a consent form. Click any card to open the form and start filling it in.
Completed Forms appear in a table below the cards once you've submitted them. Each row shows the form name, the date it was completed, and whether it has been signed. Click any row to reopen and review it.
If your organization has the file upload feature enabled, you'll also see a File Upload card in the available section for attaching supporting documents. See Uploading Files During Onboarding for how that works.
Completing an Onboarding Form
Let's Complete an Onboarding Form
- Open the client's record from the Clients list
- Click Progress at the top of the client's profile
- Click the Onboarding tab
- Click the form card you want to complete, for example "Case History"
- Fill in the fields working through the form at your own pace
- Click Save to save your progress without submitting, you can come back and continue later
- Sign the form if your organization requires it, then save to finalise
And you're all set! The form moves from the available cards into the completed table.
What Forms Appear Here?
The forms you see in the Onboarding tab depend entirely on what your organization has set up in the Library. Metanoa comes with some default forms like Case History, but your Admin can add, remove, or customise onboarding forms at any time through the Library's Onboarding library.
This means different organizations will see different forms here, and your set of onboarding forms may grow over time as your Admin adds new ones. If you feel a form is missing or a new intake form is needed, that's a conversation for your Admin, who can add it through the Library. See the Library section for the full guide on how that works.
Saving vs Signing
Saving a form keeps your progress and leaves the form editable so you can come back to it. Signing a form locks it permanently as a finalised clinical record. Once signed, no one can edit the form.
Most organizations sign forms only when all the information is complete and verified, so it's fine to save and return multiple times before signing. If you're unsure whether your organization requires signatures on onboarding forms, check with your Admin.
